Senior Executive Manager, Family Office

Salary: HK$ 67,850 per month

InvestHK is looking for a passionate, high-calibre, result-oriented professional to join the FamilyOfficeHK Team as Senior Executive Manager, Family Office.  In this exciting role, you will need to deploy your managerial skills to provide administrative support to the Family Office (FO) team.  If you are driven to help make Hong Kong a leading global hub for FOs, a key policy initiative in the Chief Executive’s 2022 Policy Address, this role represents a unique opportunity to help attract FOs from Mainland and overseas set up and expand their presence in Hong Kong. 

The Role

You will be responsible for providing all-round administrative support to the FO team in order to assist the team in achieving the overall key performance indicators (KPIs). You will work closely with other FO Team members in Hong Kong, Mainland and overseas and collaborate with other sector teams at InvestHK Headquarters, as well as our global network in 34 cities around the world.  You will need to demonstrate: 

  1. Strong planning and organisational abilities, with attention to details;
  2. Proficient in handling administrative tasks, including procurement, data compilation and analysis, and preparing reports;
  3. Good understanding of the FO ecosystem and the financial services sector;
  4. Ability to manage multiple touchpoints and respond quickly to changing priorities;
  5. Capacity to work independently under pressure to meet performance targets and objectives, while also being a collaborative team player;
  6. Excellent communication and interpersonal skills;
  7. A strong emphasis on governance; and
  8. Proficient in the use of computer software, including word processing, spreadsheet, presentation software, and data analysis tools.

Duties

  1. To prepare regular reports by consolidating returns, drafting briefs, presentation materials, reports, and other correspondences;
  2. To assist in monitoring business performance of the FO Team;
  3. To manage general administrative tasks for the FO Team, including accounting, human resources, records management and filing system development, ensuring smooth operations;
  4. Provide all-rounded support to the procurement exercises according to internal procedures and guidelines, including sourcing vendors, negotiating contracts, etc.;
  5. To manage the inventory of the FO Team, including PR and marketing materials, stationery, and supplies;
  6. To perform compliance checking, monitoring and review to ensure proper governance within the team in compliance with internal rules and regulations of the Government and InvestHK;
  7. To provide administrative support for all FO initiatives; and
  8. To perform any other duties as assigned.

Entry Requirements

  1. Five years of relevant full-time work experience in finance field.  With relevant experience in business management, providing executive and business support to senior executives or compliance or risk management is preferred, with relevant managerial experience would be an advantage;
  2. A Bachelor's degree from a Hong Kong university, or equivalent; 
  3. Working proficiency in English, Cantonese and Putonghua is a must; and
  4. Proficiency in English and Chinese word processing, and in the applications of Microsoft Word, Excel and PowerPoint.

Terms of Appointment

Successful applicant will be appointed on non-civil service contract terms for three months and the term will be extended up to an accumulative period of not more than 24 months subject to satisfactory performance and at the discretion of Invest Hong Kong.  Under normal circumstances, there will usually be further renewal of contract, subject to the performance and conduct of the applicant, and the service need of the department.

Fringe Benefits

  1. An end-of-contract gratuity may be granted upon satisfactory completion of the contract. Such gratuity, if granted, plus any contribution made by the Government to a Mandatory Provident Fund (MPF) scheme in respect of the appointee as required by the MPF Schemes Ordinance, will equal 15% of the total basic salary drawn during the contract period; and
  2. Applicant appointed will be granted 14 days of annual leave and the entitlement of annual leave will be calculated on pro-rata basis for appointment less than 12 months.  Other benefits, such as rest days, statutory holidays (or substituted holidays), maternity/ paternity leave, sickness allowance, where appropriate, will be granted mainly in line with the provisions of the Hong Kong Employment Ordinance.
